Booking & Cancellation Policy
How Ethio Afro Tours handles quotations, booking confirmation, payments, changes, cancellations and refunds.

Every private journey has different suppliers and commitments. This policy explains our general process; the written proposal you accept contains the commercial terms for your specific booking.
1. Enquiry and proposal
An online enquiry, telephone conversation, AI-assistant exchange or draft itinerary is not a reservation. Availability and prices may change until a booking is confirmed. Your written proposal will identify the itinerary, traveller count, price, inclusions, exclusions, payment schedule and any booking-specific conditions.
2. Booking confirmation
A booking is confirmed only after you accept the written proposal, pay the deposit or amount stated there, and receive written confirmation from Ethio Afro Tours. The person making the booking confirms that they are authorized to act for everyone named and will communicate these terms to the group.
3. Deposits and final payment
Deposit amounts, currency, payment method and final-payment dates vary according to the itinerary and supplier commitments and will be set out in your proposal. Missing a payment deadline may allow us to treat the booking as cancelled after reasonable notice. Bank, card, transfer and currency-conversion charges are normally the payer’s responsibility unless the proposal says otherwise.
4. Cancellation by the traveller
Cancellation must be sent in writing by the lead traveller and takes effect when we acknowledge it. The cancellation deadlines, refund percentages or charges in the accepted proposal control. Recoverable amounts depend on notice, work already performed and the terms imposed by hotels, airlines, parks and other suppliers. Deposits, permits, tickets and supplier payments may be partly or wholly non-refundable. We strongly recommend insurance that covers cancellation for circumstances relevant to you.
5. Changes requested by the traveller
Tell us promptly if you want to change dates, names, route, accommodation or group size. We will try to help but cannot guarantee a change. Any price difference, supplier fee, cancellation charge or additional planning cost will be explained before we proceed where reasonably possible. Reducing the group size may increase the per-person price for remaining travellers.
6. Changes or cancellation by us
Travel in Ethiopia may require route, timing, accommodation or activity changes. For a significant pre-departure change, we will explain the available reasonable options, which may include accepting a substitute, choosing an alternative where available, or receiving the recoverable amount specified under your proposal and applicable law. We may cancel or suspend services where payment is overdue, a traveller’s conduct creates a safety or legal risk, or operating the trip is not reasonably possible.
7. Force majeure and supplier failure
Weather, natural disaster, illness outbreak, conflict, civil unrest, government action, border or park closure, transport disruption and similar events beyond reasonable control may affect a trip. We will act reasonably to assist and seek recoveries from suppliers, but cannot promise a refund of sums suppliers will not return. Rerouting, extra accommodation, transport or evacuation may create additional costs. Travel insurance is essential.
8. Late arrival and unused services
No refund is normally available for a service voluntarily declined or missed because of late arrival, an independently booked flight, incomplete documents, illness or another circumstance outside our control, subject to the accepted proposal and applicable law. We will provide reasonable assistance with alternatives where possible; resulting costs may be payable by the traveller.
9. Layover and stopover bookings
Layover plans depend on confirmed flight times, immigration and visa permission, airport procedures, luggage arrangements, traffic and a safe return margin. An enquiry does not guarantee eligibility to leave the airport. Tell us immediately of a schedule change. We may shorten, adapt or cancel an outing where the available connection is no longer safe; the accepted proposal and supplier recoverability determine any refund.
10. Refund timing and method
Where a refund is due, we calculate it after confirming recoverable supplier amounts and approved deductions. It will normally be returned using the original method or another agreed lawful method. Processing time can depend on banks and suppliers. Currency movements and non-refundable transaction charges may affect the amount received.
11. Which terms control
Your accepted written proposal controls deposit amounts, due dates, cancellation deadlines, refund percentages and supplier-specific charges where it differs from this general policy. These Booking and Cancellation terms should be read together with our Terms & Conditions and Privacy Policy.
